WhatsApp for Schools: A Simple Way to Reach Parents

WhatsApp for schools is easier to manage with Cloud School. Send approved messages to individual parents, lists of numbers, or entire classes while keeping templates, permissions, delivery records, and billing in one place.

Why WhatsApp for schools matters

Schools already use WhatsApp every day to communicate with parents. The challenge is making that communication consistent, accountable, and easy for authorised staff to manage.

When school messages depend on personal phones and manually managed groups, important updates can get buried. Staff may use different numbers, and the school has limited visibility into what was sent or delivered.

WhatsApp on Cloud School brings this communication into one managed system. It connects the familiar parent experience with the controls a school needs behind the scenes.

What can a school do?

Once onboarding is complete, WhatsApp for schools becomes a managed workflow that authorised staff can control from Cloud School.

  • Send fee reminders, attendance alerts, event notices, receipts, and other updates
  • Message one parent, a list of numbers, or a selected class
  • Personalise class messages with parent, student, or school details
  • Send immediately or schedule a message for later
  • Preview the message and estimated cost before confirming
  • Check delivery, failures, wallet activity, and message charges

Three ways to send

Every school has different needs. Cloud School supports three WhatsApp for schools sending options.

1

Cloud School’s shared number

The quickest option. Cloud School owns and manages the account, while the school pays for billable messages through its WhatsApp wallet.

2

Your school’s number on a Cloud School account

Parents see the school’s own number, while Cloud School manages the WhatsApp account.

3

Your school’s number on its own Meta account

The school owns the account and pays Meta directly. It needs a verified Meta business, a suitable number, a payment method, and approved templates.

How onboarding works

Setting up WhatsApp for schools starts with a request from an authorised school administrator.

1

Request

Open WhatsApp > Onboarding, review the terms, enter the administrator’s details, and choose a sending option.

2

Connect

If the school uses its own Meta account, add the WhatsApp Business Account ID and Phone Number ID.

3

Approve

The Cloud School team reviews the request and approves the account.

4

Enable and fund

Enable WhatsApp and top up the wallet, or maintain a valid payment method in the school’s Meta account.

5

Create templates

Create or sync at least one message template and wait for Meta to approve it.

6

Send a test

Send one message to a test phone before contacting a larger audience.

Templates keep messages consistent

For effective WhatsApp for schools communication, the school needs at least one template approved by Meta. Templates can cover fee reminders, absence notices, trip reminders, event updates, and receipts.

  • Utility: Messages related to an existing school activity or service.
  • Marketing: Promotions, campaigns, or newsletters.
  • Authentication: One-time codes.
Good to know: Only approved templates appear on the sending page. If Meta rejects a template, revise the wording and submit it again.

Sending a message to parents

With WhatsApp for schools configured, staff open WhatsApp > Send WhatsApp and choose the audience. They can enter a manual list or select a form, stream, audience, and guardian relationship for a class send.

The sender selects an approved template and fills in any missing values. Class messages can use Cloud School fields to insert details for each recipient automatically.

Before anything leaves the system, Cloud School displays a preview and an estimated cost. The sender must confirm the message before sending it immediately or scheduling it for later.

Understanding the reply window

When a parent messages the school, WhatsApp opens a 24-hour customer service window. Each new message from the parent restarts it. Staff can reply through the Inbox while the window is open. Outside it, the school must use a Meta-approved template.

Cloud School gives administrators visibility into WhatsApp for schools activity before and after every send.

  • Preview estimated costReview the estimate before confirming a message.
  • Review Credits & BillingSee the available balance, top-ups, usage, and charges.
  • Monitor country and categoryUnderstand where billable messages are being sent.
  • Match charges to Message LogsTrace each charge back to its message record.

A practical go-live checklist

  • The onboarding request has been approved
  • The correct sending number or account is connected
  • WhatsApp is enabled for the school
  • The wallet or Meta payment method is ready
  • At least one template is approved and synced
  • A test message has reached a phone
  • The right staff members have permission
  • Staff know where to check Message Logs and billing
